How to edit or delete an account manager

This article explains how to edit an account manager’s details and change which clients they manage. It also explains how to remove an account manager from your Practice Dashboard.

Please note that you’ll need to be a senior account manager on FreeAgent to be able to edit or delete an account manager. If you need this level of access, please ask the primary account holder at your practice (the person who set up FreeAgent) to follow the steps below and change your status.

Editing an account manager’s details or status

Log in to your Practice Dashboard and select the 'Account Managers' tab.

Select the relevant person’s name from the list.

Edit their name or contact details, or change their status by ticking or unticking the ‘Senior account manager?’ checkbox.

Once you’ve made the relevant changes, select ‘Update account manager’ to complete the process.

Changing which clients a colleague is managing

If you need to move clients between different account managers at your practice, you can either choose an individual client, or a selection of clients, and switch them to a different account manager, or switch all of a particular account manager’s clients to a different account manager in bulk.

Please note that senior account managers can view and access all of the practice's client accounts in FreeAgent. Non-senior account managers can only view and access the clients who are assigned to them.

Switch an individual client, or a selection of clients, to a different account manager

Navigate to the 'Clients' tab at the top of the screen and select 'All Clients'.

The ‘Account Manager’ column identifies which clients are assigned to each account manager.

Tick the checkbox next to the client or clients that you want to switch.

You can quickly tick all the clients' boxes by ticking the box next to the 'Name' heading.

Once you have chosen the relevant client(s), choose the account manager to switch them to from the drop-down menu and select 'Switch' to complete the process.

The client(s) will then be moved to the appropriate account manager's dashboard and they will be able to view and access their client accounts.

Bulk switch clients between account managers

To move all of a particular account manager’s clients to another account manager, you can use the bulk transfer option. To do this, navigate to the ‘Account Managers’ tab.

Select 'Move Clients' to the right of the account manager that you want to move the clients from.

Choose the account manager that you want to move all the clients to using the drop-down menu in the pop-up and select 'Move [X] clients' to complete the process.

The clients will be moved over to the new account manager’s dashboard and they will be able to access the client accounts.

Deleting an account manager

An account manager can only be deleted if they have no clients assigned to them. If they still have clients assigned to them, you will first need to follow the above steps to transfer those clients to another account manager.

To delete an account manager, navigate to the 'Account Managers' tab.

Select 'Delete' to the right of the account manager that you wish to remove.

In the pop-up window, select 'Yes, delete account manager' to complete the process.

You can set up the individual as an account manager again in the future, if you need to, by following these steps.
