This article explains how to set up a free Shopify integration with FreeAgent.
Once you’ve set up the integration, all of your Shopify data will be imported into FreeAgent automatically, including orders, refunds, VAT and payments.
Please note that the Shopify integration is available only for UK business types and supports only UK VAT rates specified by HMRC. As the integration doesn’t support foreign VAT rates, you should apply or charge only UK VAT rates to your Shopify orders.
Search for ‘FreeAgent’ in the Shopify App Store using the search bar. Choose the FreeAgent integration listing from the results and select 'Add app'. If you’re not already logged in to your Shopify account, you’ll be prompted to log in.
Review the terms and conditions provided and then select ‘Install app’ in the bottom-right corner.
Next, you’ll be redirected to sign in to your FreeAgent account. Enter your FreeAgent login details and select ‘Approve app!’.
Choose the FreeAgent account that you want the Shopify app to integrate with and then select ‘Approve’.
Next, you’ll be redirected to Shopify’s website to configure the initial settings for the integration.
Set a date to sync the configuration
In the ‘Configuration’ section, choose the date from which you want to start syncing data from Shopify with your FreeAgent account. Please note that you won’t be able to change the date once the integration is enabled.
Select sales categories and VAT rates
In the ‘Sales’ section, choose the FreeAgent categories and VAT rates that you would like to use on your invoices and credit notes.
Review your imported Shopify contact
As part of the integration, a new contact called ‘Shopify’ will be added to the ‘Contacts’ area of your FreeAgent account. Shopify will be added as the contact to all Shopify invoices and credit notes automatically.
Review your imported Shopify payments
A new bank account called ‘Shopify’ will be created under the ‘Banking’ section of your FreeAgent account. All the transactional data from your Shopify account will be imported into this new bank account for you to review.
Select spending categories for Shopify and card fees
In the ‘Fees’ section, choose the relevant FreeAgent spending categories for the ‘Payment Fee Account’ and ‘Payment Fee Refund Account’. Category options will be available in each drop-down menu.
Confirm that you do not apply foreign tax rates to Shopify orders
As the Shopify integration only supports UK VAT rates, you will be asked to confirm that you do not have any foreign tax rates set up within your Shopify store. Tick the check box in the ‘Foreign Tax Rates’ section to confirm this.
Complete the configuration process
Select the ‘Submit’ button at the bottom of the screen to complete the configuration process. Please note that you won’t be able to do this until you have ticked the check box in the ‘Foreign Tax Rates’ section as described above.
Once you’ve selected the ‘Submit’ button, the integration will be complete and your Shopify data will be imported into FreeAgent within 24 hours of your chosen sync date.
