Show Transactions report

This article explains how to access the Show Transactions report, which displays all your transactions in each of the different account categories in FreeAgent.

This report is also sometimes called the nominal ledger or general ledger.

The Show Transactions report is useful because it lets you see the transactions that make up any of the figures in your profit and loss report, trial balance and balance sheet. You can also access the Show Transactions report from any of these reports by selecting the figure you'd like to drill down into.

To access the 'show transactions' area, simply follow these steps:

Accessing the report

Navigate to the ‘Accounting’ tab at the top of the screen and select ‘Reports’ from the drop-down menu.

Select ‘Show Transactions’ in the 'Detailed' section.

This will display your Show Transactions report.

Filtering the report

You can filter the Show Transactions report by date, account or tax reporting type.

Filter by date

Choose which dates you want to see transactions for using the 'Date range' drop-down menu. This lets you go back and look at transactions from previous accounting years or a custom date range.

To select a specific date range for the report, choose ‘Custom date range’ from the drop-down menu, select ‘From’ and ‘To’ dates, and choose ‘Apply’.

The report will show the correct figures for that date range and if you choose to view any individual items on the report, the date range filter will continue to apply.

If the date range you want to select overlaps with the end of your business’s accounting year, you will need to generate two reports: one from the desired start date of the report to the end of your business’s accounting year, and another from the start of the following accounting year to the desired end date of the report.

You can check the figures for the year so far by selecting ‘Current Year So Far’ from the drop-down menu. 

Filter by account

Choose which specific account you'd like to see transactions for using the drop-down menu.

Alternatively, you can choose to look at all the transactions in each of your accounts at once by selecting 'Show All Accounts' at the bottom of the drop-down menu.

You can also select any transaction in the Show Transactions report to go back to the original entry for that transaction.

Filter by tax reporting type

To see the transactions which make up the figure for a particular box on your tax return, select the relevant option from the ‘By Tax Reporting Type’ list at the bottom of the ‘Select An Account’ drop-down menu.

Exporting the Show Transactions report

To export a list of all the transactions that make up a particular account, select ‘Export Report’ in the top-right corner and select either ‘CSV’ or ‘PDF’ from the drop-down menu, depending on your preferred file format.

Please note that if you're viewing all the transactions in each of your accounts at once using the 'Show All Accounts' option, you'll only be able to export the report as a CSV file. This is due to the large volume of data that is usually contained within the report when combining all the transactions in each of the accounts.

However, you can print this report by pressing either 'Ctrl + p' if you're using a PC or 'cmd + p' if you're using a Mac. You'll also have the option to save as a PDF file.
