Access P60s in FreeAgent

This article explains how you can access your employees’ P60s in FreeAgent.

A P60 is a document that summarises an employee’s pay and tax deductions for a particular tax year. 

If you employ people, you have a legal obligation to provide each employee with a P60 after the end of every tax year if they're still in your employment. If they've left the business before the end of the tax year, you would issue them with a P45 instead.

If you are a director of a limited company and you take a salary, you will need a P60 of your own (as will any other directors who take a salary from the company).

If you are a sole trader or a partnership, you and your partners are not employees of the company and won’t require a P60. However, anyone you employ will need a P60.

Please note:

  • FreeAgent's payroll functionality won't be available if you have an unincorporated landlord or non-UK account type, or if you're preparing your accounts using cash basis accounting.
     
  • If your accountant is a FreeAgent partner and uploads payslips into your account rather than using the payroll functionality, P60s will not be available within your account and you’ll need to request these directly from your accountant.
     
  • Users with level 2 access or above will be able to access and download their own P60. Only users with level 7 access or above will be able to access and download a P60 of another user.
     
  • When you change the address on the payroll profile in the same tax year, the P60 details will update automatically.
     
  • If you create payroll journal entries, these will not adjust the figures on the P60.

How to access and download a P60

Navigate to the 'My Money' tab at the top of the screen and select 'Salary' from the drop-down menu.

Select the relevant tax year and choose an employee’s name from the drop-down list.

Then select ‘View P60’ to display the P60.

This will display the employee's P60 on your screen. To download the P60 as a .PDF file that you can either print or save and email, select 'Save as PDF'.
