Practice billing

This article explains how billing works for your Practice in FreeAgent.

Please note:

  • Having a Practice Dashboard and becoming a FreeAgent Practice Partner is free.
     
  • FreeAgent accounts are currently completely free of charge for any of your clients that have a business bank account with NatWest, Royal Bank of Scotland, Mettle or Ulster Bank. This means your Practice will not be billed for these accounts once they are marked as a fully funded licence.
     
  • Non-eligible licences will be billed at your current discounted rate.
     
  • There is a discounted fee for any other clients that you have, which also applies to any add-ons.
     
  • You don’t need to bulk-buy licences, you only pay for the licences you use.
     
  • You can set up a direct debit or amend your existing direct debit details in your Practice Portal.

Adding a new client with a free license

If you add a new client to your dashboard and they have a NatWest, Royal Bank of Scotland, Mettle or Ulster Bank account, please make sure to enter their banking details when setting up the account to ensure it is funded by that bank from the outset.

If you don’t know these details at the time of setting up the licence, please make sure to ask your client for these and switch the licence to fully funded before the month-end so it’s not included in your billing.

If the client doesn’t have a NatWest, Royal Bank of Scotland, Mettle or Ulster Bank business account, then the license will become billable to your practice once the account is set to ‘Active’.

Transferring an existing client with a free license

If you transfer an existing client over to your Practice Dashboard and their account is funded by NatWest, Royal Bank of Scotland, Mettle or Ulster Bank, then it will continue to be funded by that bank. However if the client subscribes to FreeAgent directly, then it would become billable to your Practice once it’s fully transferred.

Once the client has been successfully transferred to your Practice Dashboard, any remaining annual subscription that the client has paid will automatically be refunded to the client. You can view the credit note for this refund in the Billing area of your client’s account.

If you would like the client to remain billable for the licence then you would need to ‘link’ the account to your dashboard instead of transferring it.
