How to import files into your FreeAgent account using the FreeAgent mobile app

This article explains how to import files, such as email attachments, digital receipts, invoices or bills, from your mobile device into the ‘Files’ area of your FreeAgent account.

You'll need level 4 access or above to import files into your FreeAgent account using the mobile app. You can import image files (PNGs and JPEGs) and PDFs from any app on your device that allows sharing. Once a file has been imported into the ‘Files’ area of your FreeAgent account, you can attach it to a relevant expense, bill, or bank transaction.

Please note that any changes you make using the FreeAgent mobile app will be reflected in the desktop version of FreeAgent.

If you import image files into your FreeAgent account on a regular basis, you might want to consider using the ‘Capture for later’ functionality on the FreeAgent mobile app instead of following the process outlined below.

Importing files on an iOS device

Before you begin, make sure that you’re running the latest version of the FreeAgent mobile app.

On your device, open the image or file that you would like to import into your FreeAgent account.

Tap the sharing icon. This will either be located in the top-right or bottom-left corner, depending on where you are sharing the file from.

Select the FreeAgent mobile app from the list of apps. You may need to scroll to the right to find the app. Please note that you can only import one file at a time and if you select multiple files, FreeAgent will not appear as an available app.

Next, you will be taken to the FreeAgent app. If you are a level 7 or 8 user, you will be able to change the file name and mark the file as private by selecting the toggle labelled ‘Make private’. This means that only you (or you and your accountant) will be able to access that image in the ‘Files’ area of your FreeAgent account.

Tap ‘Save to Files’ to complete the process. Once you have done this, the file will be visible in the ‘Files’ area of your FreeAgent account.

Importing files on an Android device

Disclaimer: These instructions may vary depending on the model of Android device you are using.

Before you begin, make sure that you’re running the latest version of the FreeAgent mobile app.

On your device, open the image or file you would like to import into your FreeAgent account.

Tap the three dots menu in the top-right corner.

Select ‘Send file…’ from the drop-down menu.

Select the FreeAgent mobile app from the apps list. Please note that you can only import one file at a time. If you select multiple files, FreeAgent will not appear as an available app.
