Edit or delete a stock item

This article explains how to edit or delete a stock item that you’ve created in FreeAgent.

Please note that FreeAgent's stock functionality won't be available if you have an unincorporated landlord account or if you're preparing your accounts using cash basis accounting.

Select 'Settings' from the drop-down menu in the top-right corner and then choose 'Price List & Stock' in the ‘Email, Invoices & Estimates’ section.

Select the ‘Stock’ tab.

This will display all the stock items that you’ve created.

If you need to make any changes to a stock item, you can edit or delete it.

Editing a stock item

Select ‘Edit’ to the right of the relevant stock item. Please note that if the stock item has been included on a bank transaction, bill or invoice, you’ll only be able edit the name of the stock item. Find out how to edit a locked stock item.

Make the relevant changes and select ‘Save Changes’ to complete the process. Find out more about stock items.

Deleting a stock item

Select the ‘X’ to the right-hand side of the relevant stock item. Please note that if the stock item has been included on a bank transaction, bill or invoice, you’ll need to remove it from that invoice or bill before you can delete it. Find out how to delete a locked stock item.

Select ‘OK’ in the pop-up window to complete the process.

How to edit or delete a locked stock item

FreeAgent locks stock items once they are added to a bank transaction, bill or invoice, even if the invoice is in 'Draft' status. A padlock symbol will be displayed at the far right-hand side of these stock items.

To edit or delete a locked stock item, you'll need to remove the explanation from the bank transaction or delete the line item from the relevant bill or invoice first. This will unlock the stock item and allow you to edit or delete it.

If the stock item was included on a bank transaction, you’ll need to re-explain the bank transaction after making the necessary changes to the stock item.
