Approve or remove HMRC tax coding and student loan change notices
This article explains how to approve and how to remove HMRC tax coding or student loan change notices in FreeAgent.
Within the FreeAgent app, we refer to tax code or student loan change notices simply as ‘HMRC notices’.
Please note:
- To check for HMRC tax coding and student loan change notices using FreeAgent, you need to enable electronic notifications for these notices in your HMRC business tax account.
- You’ll need full (level 8) access to FreeAgent to approve or remove HMRC notices.
- Approving a notice will automatically update the employee’s payroll profile and their unfiled payslip(s) if any have been created.
Navigate to the ‘My Money’ tab at the top of the screen and select ‘Payroll’ from the drop-down menu.
Select the ‘Check HMRC notices’ button.
This will take you to the HMRC notices area. Here you’ll be able to view all your employee's notices from HMRC, such as changes to tax codes and student loan payments.
Select the ‘For approval’ tab to see the notices that you need to approve. You can approve notices individually or in bulk. You can also remove notices individually or in bulk from the ‘For approval’ or ‘Unmatched’ tabs.
Approving notices individually
To approve notices individually, select the ‘Approve’ button next to the relevant notice.
Approving notices in bulk
To approve notices in bulk, select the checkbox next to each relevant notice you want to approve at the same time.
To quickly select all the notices on a page, tick the checkbox for one notice and then tick the box that appears to the left of ‘Type’. This will select all the other notices listed on the page. Alternatively, you can select the checkbox for one notice, hold shift and then select another checkbox and all the checkboxes in between will be selected.
Then, select the ‘Approve notices’ button in the 'Approve notices' panel on the right.
A record of the notice(s) being approved will appear under the ‘History’ tab.
Removing notices individually
To remove notices individually, select the red cross next to the relevant notice.
Select ‘Yes, remove this HMRC notice’ in the pop-up window to complete the process.
Removing notices in bulk
To remove notices in bulk, select the checkbox next to each relevant notice you want to remove.
To quickly select all the notices on a page, tick the checkbox for one notice and then tick the box that appears to the left of ‘Type’. This will select all the other notices listed on the page. Alternatively, you can select the checkbox for one notice, hold shift and then select another checkbox and all the checkboxes in between will be selected.
Then, select the ‘Remove [x] notice(s)’ button.
Select ‘Yes, remove these HMRC notices’ in the pop-up window to complete the process.
A record of the notice(s) being removed will appear under the ‘History’ tab.
