Attach an image file to an out-of-pocket expense, bill or bank transaction

This article explains how to attach a saved image file or receipt, to an out-of-pocket expense, bill or bank transaction.

You can attach a file to an out-of-pocket expense, bill, or bank transaction.

You can also convert a file into an out-of-pocket expense, or bill.

Attaching a file to an out-of-pocket expense

When you’re adding or editing an out-of-pocket expense, select ‘Choose from saved files’ in the ‘Attachment’ section.

Select the relevant file in the pop-up window and select ‘Attach selected file’.

If you attach a file which has had the date and amount automatically extracted, the relevant fields of the out-of-pocket expense will be automatically populated with the details. Find out more about how FreeAgent’s Smart Capture functionality works.

Please note that:

  • attaching an image file to an out-of-pocket expense will remove it from the Files area of your FreeAgent account.
  • any file that was marked as ‘private’ will be visible to others on your account once you’ve attached it to an out-of-pocket expense.

Attaching a file to a bill

When you’re adding or editing a bill, select ‘Choose from saved files’ in the ‘Attachment’ section.

Select the relevant file in the pop-up window and select ‘Attach selected file’.

Please note that:

  • attaching an image file to a bill will remove it from the Files area of your FreeAgent account.
     
  • any file that was marked as ‘private’ will be visible to others on your account once you’ve attached it to a bill.

Attaching a file to a bank transaction

When you’re explaining a bank transaction, select ‘Choose from saved’ in the ‘Attachment’ section.

Select the relevant file in the pop-up window and select ‘Attach selected file’.

If you’ve used Smart Capture to capture receipts or bills, FreeAgent will try to find matching data from captured files and suggest these options for you to attach.

Please note that:

  • any file that was marked as ‘private’ will be visible to others on your account once you’ve attached it to a bank transaction.
